How to fill multiple PDF forms from Excel

Keep the original PDF layout. Put column names in the first spreadsheet row and one customer, employee, vendor, or case in each row below it. JustFill creates a separate PDF for every selected row.

  1. 1

    Upload the original PDF

Use an AcroForm, a flat PDF, or a scan. JustFill detects the fields before the merge.

  2. 2

    Import XLSX or CSV

Dates, leading zeros, percentages, booleans, and spreadsheet headers are preserved for mapping.

  3. 3

    Check the column mapping

Matching headers map directly. Ambiguous columns can use AI-assisted mapping.

  4. 4

    Review and export

Approve the records you want and download individual filled PDFs in one ZIP.

Upload or send the source files

Upload the PDF you need to repeat. Fillable forms, flat PDFs, and scans are supported.

Map columns to PDF fields

Import CSV or XLSX. JustFill matches spreadsheet headers and row values to the detected PDF fields.

Review before export

Your team checks generated drafts before download, so the workflow saves time without skipping human review.

Where it fits

Built for recurring spreadsheet-to-PDF work.

JustFill is strongest when the source data already lives in Excel and the same PDF form needs to be prepared repeatedly for customers, vendors, employees, or internal operations.

Customer application forms
Vendor setup forms
Employee onboarding PDFs
Order and quote forms
Account update forms
Inspection or intake packets

Paid workflow

Turn the first working mapping into repeatable PDF production.

After one workflow is proven, the paid product expands into saved mappings, batch exports, and team controls for recurring document work.

Saved mappings

Reuse the same Excel column mapping every time the form or process repeats.

Batch drafts

Generate reviewed PDF drafts from multiple spreadsheet rows instead of handling one document at a time.

Export package

Download completed documents individually or as a ZIP after review.

Guardrails

Draft preparation with human review.

Clear boundaries

JustFill prepares PDF drafts from data your team provides. It does not validate business decisions, legal meaning, tax treatment, compliance status, or whether a form should be submitted.

Beyond manual uploads

Run the same PDF workflow from an AI agent or n8n.

The browser flow is the fastest way to validate a spreadsheet and PDF. Once the mapping works, the same JustFill account can expose PDF detection, filling, and saved templates through the hosted MCP endpoint.

Frequently asked questions

How do I mail merge a PDF from Excel?

Upload the PDF form once, import the Excel or CSV file, map each column to a detected PDF field, review the generated records, and download one completed PDF per selected row in a ZIP. The original PDF layout stays untouched.

Can I mail merge PDF documents without Adobe Acrobat?

Yes. Acrobat has no native spreadsheet mail merge, so a browser-based workflow is usually simpler than an Acrobat plug-in or script. Nothing needs to be installed and the form does not have to be rebuilt in Word.

Can a PDF form be filled from Excel data automatically?

Yes. Spreadsheet headers that match field names are mapped automatically, and ambiguous columns can be corrected by hand before generation. Automatic mapping never skips the review step: every generated record stays visible before export.

Can I create a fillable PDF from Excel?

JustFill fills an existing PDF rather than converting a spreadsheet into a new fillable form. If the goal is one completed copy of a form per spreadsheet row — for customers, vendors, or employees — that is exactly what the batch workflow produces.

Does it work with scanned or flat PDFs?

Yes. JustFill detects field locations in fillable, flat, and scanned PDFs before mapping spreadsheet columns.

Does each spreadsheet row create a separate PDF?

Yes. The first row contains the Excel or CSV column names. Every selected data row becomes one reviewable PDF in the exported ZIP.

Is this the same as Word mail merge?

It uses the same one-row-per-document idea, but fills your existing PDF directly. You do not need to recreate the form in Word or convert the PDF first.

Can I review results before downloading?

Yes. Each spreadsheet row becomes a reviewable record. Approve the records you want before creating the ZIP.

Does JustFill email the generated PDFs?

Not in the current self-service batch. It creates individual PDFs and packages the approved files in a ZIP for download.

What happens to uploaded documents?

Transfers use TLS. Rendered page images are deleted within 7 days and source documents within 30 days unless you save the PDF as a reusable template.
