22-second walkthrough
One PDF. Five spreadsheet rows. One ZIP.
A real production workflow with a synthetic vendor form and a five-row Excel workbook: match all nine fields, review every PDF, and export one ZIP.
- 1Review nine PDF fields once
- 2Match 9/9 Excel headers
- 3Approve five and export ZIP
PDF mail merge, without Word
How to fill multiple PDF forms from Excel
Keep the original PDF layout. Put column names in the first spreadsheet row and one customer, employee, vendor, or case in each row below it. JustFill creates a separate PDF for every selected row.
- 1
Upload the original PDF
Use an AcroForm, a flat PDF, or a scan. JustFill detects the fields before the merge.
- 2
Import XLSX or CSV
Dates, leading zeros, percentages, booleans, and spreadsheet headers are preserved for mapping.
- 3
Check the column mapping
Matching headers map directly. Ambiguous columns can use AI-assisted mapping.
- 4
Review and export
Approve the records you want and download individual filled PDFs in one ZIP.

Upload your certificate PDF template
Drop in any PDF exported from Canva, Adobe Illustrator, InDesign, PowerPoint, or a scanned paper award. D-FINE visual detection locates blank lines, or you can place recipient name, course title, date, and certificate ID boxes in one click.
Import your attendee Excel or CSV roster
Upload an .xlsx or .csv roster exported from your LMS, Zoom/Webinar attendance report, Eventbrite, or HRIS. Map columns like Recipient Name, Course Title, CEU Hours, Completion Date, and Certificate Number.
Preview long names and download the ZIP
Click through generated certificates in the browser to verify that long names, credentials, and dates fit cleanly on the line before exporting all approved PDFs in one watermark-free ZIP.
Where it fits
Keep your exact Canva, Illustrator, or flat PDF certificate design — no Word layout rebuilds.
Recreating a designed certificate inside Microsoft Word or Google Slides just to run a mail merge breaks custom borders, seals, signatures, and typography. JustFill keeps your original flat, scanned, or fillable PDF certificate untouched, detects or places fields directly on top of the artwork, and populates one certificate per spreadsheet row.
Simple pricing

Paid workflow
Save your certificate template once and issue the next cohort in 60 seconds.
Training providers and HR teams run the same certificate layout after every workshop or compliance cycle. Save your calibrated field placement once and drop in next month’s attendance CSV with zero setup.
Reusable certificate layout
Save the exact field coordinates for Recipient Name, Course, Date, Instructor Signature label, and Serial Number so future cohorts require zero field setup.
Works with flat Canva & designer PDFs
No Adobe Acrobat Pro required. Turn any flat PDF artwork or scanned award template into a repeatable batch generator directly in the browser.
Visual proofing before ZIP export
Inspect every recipient’s certificate on the canvas, fix typos or capitalization inline in the browser table, and export clean individual PDFs in a ZIP.
Guardrails
Draft preparation with human review.
Clear boundaries
JustFill populates PDF certificate templates from attendance and completion records your organization provides. It is not an accrediting body, does not verify course completion or CEU/CPE eligibility, and does not email certificates directly to recipients.
Beyond manual uploads
Run the same PDF workflow from an AI agent or n8n.
The browser flow is the fastest way to validate a spreadsheet and PDF. Once the mapping works, the same JustFill account can expose PDF detection, filling, and saved templates through the hosted MCP endpoint.
ChatGPT, Claude and MCP
Give an agent a PDF, inspect detected fields, fill it, and save the reviewed layout for repeat use.
n8n automation
Trigger fills from a webhook, spreadsheet, CRM, or database and send the result to your next workflow node.
PDF Mail Merge Software
Browser-based PDF mail merge software to batch fill fillable, flat, and scanned PDFs without Acrobat plug-ins or VBA macros.
Fill Applications for Clients
Prepare recurring official forms, permits, and intake packets across client rosters from one structured spreadsheet.
Frequently asked questions
How do I batch fill PDF certificates from an Excel or CSV attendance list?
Upload your PDF certificate template to JustFill, place or auto-detect the fields for Recipient Name, Course Title, Completion Date, and Certificate ID, and upload your Excel (.xlsx) or CSV roster. Preview each attendee’s certificate in the browser and click Export ZIP to download one personalized PDF per row.
Can I use a flat PDF certificate exported from Canva, Illustrator, or InDesign?
Yes. Most certificate designs exported from Canva, Adobe Illustrator, InDesign, or PowerPoint are flat PDFs with no interactive AcroForm fields. JustFill detects visible blank lines or lets you draw text boxes directly over the artwork so your fonts, borders, badges, and background graphics stay 100% intact.
How do I check that long recipient names fit on the certificate before downloading?
Every row in your Excel or CSV file appears as a clickable record in the batch preview list. You can inspect long names or hyphenated credentials directly on the certificate canvas, resize or reposition the field box once for the whole batch, or edit a cell value inline before generating the final ZIP.
Do I need a monthly subscription for a one-time webinar or graduation cohort?
No. You can test 5 rows for free, and if you only have a one-time cohort of up to 25 recipients, the $7 7-Day Pass gives you 25 clean PDF downloads (including 1-click Batch ZIP export) with no recurring subscription — and credits the full $7 toward Starter ($19/month) if you upgrade within 7 days.
Can we reuse the same certificate template for weekly or monthly training cohorts?
Yes. Save your reviewed certificate layout as a template in your account. Whenever a new training cohort finishes, reopen the saved session, drop in the new LMS or attendance CSV, and export the new ZIP in seconds without using additional detection pages.
Does it work with scanned or flat PDFs?
Yes. JustFill detects field locations in fillable, flat, and scanned PDFs before mapping spreadsheet columns.
Does each spreadsheet row create a separate PDF?
Yes. The first row contains the Excel or CSV column names. Every selected data row becomes one reviewable PDF in the exported ZIP.
Is this the same as Word mail merge?
It uses the same one-row-per-document idea, but fills your existing PDF directly. You do not need to recreate the form in Word or convert the PDF first.
Can I review results before downloading?
Yes. Each spreadsheet row becomes a reviewable record. Approve the records you want before creating the ZIP.
Does JustFill email the generated PDFs?
Not in the current self-service batch. It creates individual PDFs and packages the approved files in a ZIP for download.
What happens to uploaded documents?
Transfers use TLS. Rendered page images are deleted within 7 days and source documents within 30 days unless you save the PDF as a reusable template.
