How to fill multiple PDF forms from Excel

Keep the original PDF layout. Put column names in the first spreadsheet row and one customer, employee, vendor, or case in each row below it. JustFill creates a separate PDF for every selected row.

  1. 1

    Upload the original PDF

Use an AcroForm, a flat PDF, or a scan. JustFill detects the fields before the merge.

  2. 2

    Import XLSX or CSV

Dates, leading zeros, percentages, booleans, and spreadsheet headers are preserved for mapping.

  3. 3

    Check the column mapping

Matching headers map directly. Ambiguous columns can use AI-assisted mapping.

  4. 4

    Review and export

Approve the records you want and download individual filled PDFs in one ZIP.

Clear boundaries

JustFill prepares PDF drafts (such as Form 1099-NEC Copy B, Copy C, Copy 1, and Copy 2) from data your organization or accounting practice provides. It does not e-file information returns with the IRS (FIRE/IRIS) or state agencies, does not produce special red-ink scannable paper Copy A forms, and does not provide tax advice.

Frequently asked questions

Which copies of IRS Form 1099-NEC can we batch-fill as PDFs?

You can batch-fill the official fillable PDF pages for Copy B (For Recipient), Copy 2 (To be filed with recipient’s state income tax return), Copy C (For Payer), and Copy 1 (For State Tax Department). Note that the IRS requires paper Copy A filings to use official red-ink scannable forms or electronic filing via IRS IRIS/FIRE.

Can we keep our Payer Name, Address, and EIN fixed across all contractor rows?

Yes. You can either pre-fill your Payer Name, Address, and TIN directly on the master 1099-NEC PDF template or repeat those columns across your CSV rows while varying the Recipient Name, Address, TIN, Account Number, and Box 1 amount per row.

Can we mask or truncate Recipient TINs on Copy B for security?

Yes. Because JustFill prints the exact string from your Excel or CSV cell, you can format your Recipient TIN column with IRS-permitted truncated taxpayer identification numbers (TTINs, such as ***-**-1234 or **-***1234) on recipient copies.

Does this also work with Form 1099-MISC, 1099-INT, 1099-DIV, and Form W-9?

Yes. You can upload any official IRS information return PDF (including Form 1099-MISC, 1099-INT, 1099-DIV, 1099-R, or 1095-C) or Form W-9 and batch-populate one PDF per spreadsheet row.

Should we test with synthetic contractor data first?

Yes. Click "Download Ready-to-Use CSV/Excel Template" or "Try the sample batch" to verify your Box 1–7 column mappings with synthetic data first, and only import records your organization is authorized to process.

Does it work with scanned or flat PDFs?

Yes. JustFill detects field locations in fillable, flat, and scanned PDFs before mapping spreadsheet columns.

Does each spreadsheet row create a separate PDF?

Yes. The first row contains the Excel or CSV column names. Every selected data row becomes one reviewable PDF in the exported ZIP.

Is this the same as Word mail merge?

It uses the same one-row-per-document idea, but fills your existing PDF directly. You do not need to recreate the form in Word or convert the PDF first.

Can I review results before downloading?

Yes. Each spreadsheet row becomes a reviewable record. Approve the records you want before creating the ZIP.

Does JustFill email the generated PDFs?

Not in the current self-service batch. It creates individual PDFs and packages the approved files in a ZIP for download.

What happens to uploaded documents?

Transfers use TLS. Rendered page images are deleted within 7 days and source documents within 30 days unless you save the PDF as a reusable template.
